We are a dairy production enterprise and recently want to expand into overseas markets, but we don't understand the export process at all. I want to ask which dairyexport agency companies are reliable? How to screen them? I'm most afraid of encountering unprofessional agents causing goods to be detained by customs, or logistics problems damaging goods, and I'm also unsure about negotiating payment methods with foreign customers.

Choosing a dairy export agent, compliance qualifications are the primary inspection point. You need the other party to provide the "Customs Declaration Unit Registration Certificate" and the dairy export special qualification filing certificate. Focus on checking whether the agent is in the "Record of Export Food Production Enterprises" of the General Administration of Customs, and require to see samples of their dairy export customs declaration forms in the past three years. Dairy HS codes are concentrated in chapters 0401-0406. Regulatory conditions for different products (such as infant formula, liquid milk, cheese) vary greatly. You must confirm that the agent is familiar with the commodity inspection requirements, health certificate formats corresponding to your products, and destination country access lists (such as the EU's TRACES system,US FDA prior notice). Risk warning: If the agent promises "guaranteed clearance" but cannot provide compliant "Health Certificate" and "Sanitary Certificate" application process instructions,it can be judged as high risk. It is recommended to require the agent to provide CNAS certification documents of their cooperative laboratories, and clearly agree that if customs inspection or detention is caused by document discrepancies, the agent needs to bear the corresponding demurrage fees and liquidated damages.

The core of dairy export is the stability of cold chain logistics. When evaluating an agent, you must require them to provide a list of cooperative cold chain logistics suppliers and temperature control standard operating procedures (SOP). Liquid milk and yogurt usually require 2-4°C refrigerated transport, while butter and cheese may require -18°C freezing. Confirm whether the agent can provide full-process temperature control data loggers (TTI) and interface with your system. In terms of Incoterms selection, it is recommended that novices adopt CIF terms, with the agent arranging shipping and insurance, but you need to review whether their policy covers cargo damage caused by "temperature loss". regarding document flow, the agent must obtain the official veterinary health certificate 7 working days before shipment and synchronize it with you for pre-review. In terms of cost, in addition to agency fees, focus on asking whether cold chain storage fees are calculated by day or week, and who bears the "reefer plug-in fee" during destination port clearance. A reliable agent should be able to directly quote the approximate shipping cycle and reference freight to major ports (such as Rotterdam, Los Angeles), rather than being vague.

Finding an agent is essentially finding a partner. Professionalism and trust are more important than price. You can quickly screen from three dimensions: First, require the agent to provide contact information of at least three customers in the same industry for background checks, focusing on asking "response speed when problems occur"; Second, clarify the payment method in the contract, suggesting "30% advance payment + 70% payment against bill of lading copy (T/T)", avoiding full advance payment. For new customers, you can require the agent to accept letter of credit (L/C) settlement, although the handling fee is high, it can lock in transaction security. Third, add "confidentiality clauses" and "exclusive regional clauses" in the agency agreement to prevent your customer information from being leaked or the agent serving your direct competitors at the same time. During negotiation, if the other party is eager to sign but unwilling to modify the disclaimer clauses in the standard contract, this is usually a warning signal. A reliable agent will proactively propose regular business review meetings and be willing to provide pre-market access consultation for your products, rather than just talking about rates.
