We recently sent samples to a foreign client via DHL, but after shipping, we were informed that the delivery address belonged to a remote area, and an additional surcharge of 280 yuan was imposed. The client refused to cover this fee, so we had to bear it ourselves. Is there any way to check whether the address is in a remote area before shipping?

You must verify the remote status of the address in advance through DHL's official channels. Log in to DHL's official website to use the "Remote Area Query Tool" or the MyDHL+ platform. Enter the postal code and detailed address, and the system will clearly indicate whether it belongs to a Remote Area. This step is a necessary part of export compliance. If the address is determined to be remote, you need to truthfully note it on the customs declaration form and separately list the remote surcharge in the commercial invoice. Otherwise, you may face customs valuation disputes or customer complaints. It is recommended to save a screenshot of the address verification result as evidence of compliance in the event of trade disputes.

The fastest way to check DHL's remote address information is as follows:
1) Log in to the DHL official website, locate the "Tools" section under "Remote Area Search", and enter the country, city, and postal code to obtain instant results.
2) Use MyDHL+ to batch-import address lists and verify multiple delivery locations at once.
3) Directly call the DHL customer service hotline and provide the address for the customer service team to check.
Key points to note:
- Remote surcharges are typically charged per shipment and range from 150 to 400 RMB. If you are using DDP terms, these fees must be factored into your costs in advance.
- For EXW or FOB terms, notify customers in writing 48 hours before shipment about potential surcharges to avoid rejection of payments upon delivery.
- It is recommended to set remote address verification as the first step of the shipping SOP (Standard Operating Procedure).

From the perspective of business negotiations, you need to standardize the process of remote address verification. During the quotation stage, add a clause to the contract: "If the delivery address is located in a DHL remote area, the additional fee shall be borne by the buyer, and the seller will provide an official verification screenshot as proof." This way, clients will not be able to refuse to pay the fee later. If the client is a long-term cooperation partner, you can proactively offer verification services and attach the results to the shipping notification, which will demonstrate professionalism and thoughtfulness. The phrasing could be: "To ensure your delivery timeliness and cost transparency, we have pre-verified your address and confirmed that it does not belong to a remote area, so no additional fees are required." This not only showcases the service details but also avoids potential disputes. Remember, whoever controls the information controls the negotiation initiative.
