I just started working in this industryI've sent a Proforma Invoice to the client. Do I need to stamp the PI? Will not stamping it affect the order execution or customs clearance?

My practical advice is as follows:
1) Always provide clients with stamped PI scans, while retaining the Word version for easy modification;
2) If the client is a regular customer with urgent orders, you can initially send unstamped versions for confirmation, but the stamped version must be used for official customs declarations;
3) For air freight or express small packages, stamping requirements are relatively relaxed, but for ocean freight full containers, strict stamping is recommended. Remember, a stamped PI is a standard component of customs clearance documents—it’s better to be prepared than to face potential issues later.

However, there's a trick: you can add a small line at the bottom of the PI, "This quotation is valid for 30 days and will take effect after our stamping," which not only appears professional but also retains your initiative. Nowadays, many European and American clients accept electronic signatures, so you can use Adobe Sign or DocuSign. But remember to write "Please find the digitally signed PI attached" in the email body to actively clarify and avoid client doubts. In short, stamping is a zero-cost, high-return investment in trust.
